Buyer's guide

How to Choose Billing Software for a Small Business

Most billing software looks good in a demo. The real question is whether it will survive your busiest Saturday. This buyer's guide gives you a step-by-step method: define your needs, score the options, test with your own products, check hardware and data, and spot the warning signs before you pay.

Before You Look at Any Software, Define Your Business

Ten minutes of writing saves weeks of confusion.

Most people start by watching demos, then try to fit their business to whatever they saw. Do it the other way round. Write down how your business works today and where it hurts. Then you will recognise a good fit when you see one.

What do you sell?Plain items, items with sizes or colours, items sold by weight, services, batches with expiry?
How many counters and stores? One till, three tills, five branches and a warehouse?
Who needs access?Owner, manager, cashiers, sales staff, accountant?
What hardware do you have?Barcode scanner, thermal printer, tablet, old computer?
How is your internet?Always on, sometimes down, or poor?
What do you need to report?Daily sales, stock, staff, taxes, party-wise balances?

Separate Must-Haves from Nice-to-Haves

Must-have for most shops

  • Fast, reliable billing
  • Accurate stock that updates automatically
  • Returns and exchanges
  • Basic reports you can trust
  • User roles and permissions
  • Backups

Nice-to-have, depending on you

  • WhatsApp receipts
  • Mobile billing for sales staff
  • Staff incentives
  • Multi-store transfers
  • Custom invoice design
  • Integrations with other software

Rank your list. A feature that saves you an hour daily matters more than a long feature list you will never use. Features that depend on your specific business, such as size and colour variants for a clothing store, can be deal-breakers.

Run a Proper Demo With Your Own Data

A demo with the vendor's sample data proves nothing about your shop.

  1. Bring 20 real productsInclude the awkward ones: variants, weights, bundles.
  2. Bring five real scenariosA normal sale, a return, an exchange, a discount and a bulk sale.
  3. Let your cashier try itNot just the owner. Watch where they hesitate.
  4. Check the stock report afterwardsDo the numbers match what you did?
  5. Break it on purposeCancel a bill, issue a refund, disconnect the internet.
  6. Ask for a trial or pilotTry a small part of the business before committing everything.

Check Your Hardware Before You Buy

Billing software lives or dies at the counter. Confirm, with the exact model numbers, that your barcode scanner, receipt printer, label printer, cash drawer and computer or tablet work with it. Ask whether it prints on 58mm or 80mm thermal paper, A4 or PDF, and whether it can use a phone camera as a scanner. If you are buying new hardware, ask the vendor for compatible models rather than buying first.

Barcode scannerHardware scanner, phone camera, or both?
Receipt printerThermal 58mm or 80mm, or A4?
Label printerCan it print labels with your codes and prices?
Counter deviceComputer, laptop or tablet, and what minimum specs?

Import, Export and Ownership of Your Data

Ask three things. Can my existing product and stock list be imported, and in what format? Can I export all my data at any time? Who owns the data if I stop using the product? Importing messy data is often the longest part of a switch, so plan time to clean your list and check the result after import.

Purchase, Subscription or Custom: Understand the Pricing Model

No prices here. The shape of the cost matters as much as the amount.

Purchase or licenceYou pay up front, then may pay for updates and support. Ask what is included for how long.
SubscriptionYou pay regularly and usually get updates and hosting. Ask what happens to your data if you stop.
Custom developmentYou pay for a project built to your needs. Agree scope, testing and support in writing.
Hidden costsExtra users, extra stores, hardware, training, data import and support calls can add up.

Warning Signs When Choosing Billing Software

'GST compliant' with no detailAsk exactly which requirements are met and what you still need to do yourself. Tax rules are your responsibility to confirm with a professional.
No honest limitsEvery product has limits. A vendor who cannot name any is not being straight.
Pressure to sign todayA good fit survives a week of testing.
No named support contactYou will need help at the worst moment.
Data you cannot exportThat is a lock-in, not a feature.
Demo only on their dataInsist on your products and scenarios.

Choosing Billing Software: Common Questions

How do I choose billing software for a small shop?

Define your products, counters, stores, hardware and reports first. Then score two or three options with a scorecard, and test each with your own products and scenarios.

What is the most important feature in billing software?

It depends on your business. For most shops it is fast, reliable billing with accurate stock. For clothing stores it is size and colour variants. Decide yours before you look at software.

Should I choose a free billing app?

Free tools can suit very small or occasional billing. Check what you give up, such as stock tracking, support, export options and limits, and what happens when you outgrow it.

How long should I trial the software?

Long enough to include your busiest period or at least a full week of normal trading. Running it in parallel with your old method for a short time is a sensible test.

What hardware do I need?

Usually a computer or tablet, a barcode scanner, a receipt printer and optionally a label printer. Confirm exact models with the vendor before you buy.

Is subscription or one-time purchase better?

Neither is automatically better. Compare total cost over several years, what updates and support are included, and what happens to your data if you stop.

Can I move my existing data into new software?

Often yes if it is organised, for example in a spreadsheet. Ask about the import format and plan time to verify the result.

Is software that says it is GST compliant safe to trust?

Ask for specifics, and confirm your own requirements with a qualified tax professional. BIGOOL DIGITAL does not give tax advice and does not claim statutory compliance for any software without it being scoped and tested.

When should I consider custom billing software?

When a standard product cannot handle your rules, variants, branches or integrations. It is not necessary for every business. See our page on custom software development.
